Tips for improving remote working productivity with video conferencing

With the millions of people telecommuting from home due to the COVID-19 Coronavirus , meetings that were previously held in person have now been moved online. - and lots of workers are now using video conferencing tools in particular.  With remote work on the rise, video conferences have quickly become the meeting method of choice for many organizations.

Video conferencing meetings can be a great way to stay connected when your team can't be together, but they run a little differently than traditional meetings. To run a productive virtual meeting what are the things you should keep in mind. Let’s find. 

Choose Right Tool: As with any other purchase, it's important to know what you need from your video conferencing system before you choose one. For example, a large company might need to loop in dozens of users at once, while a smaller company might only require one-on-one conferences. 
Here's what you should keep in mind when searching for a video conferencing solution: Number of participants, video feeds, ease of use, mobile experience, recording, screen sharing, application integrations, customer support etc.

Use a waiting room. If you have a lot of meetings, especially with a full calendar, there's always a chance that the person or people in your next meeting will log on a few minutes early, or a meeting might run long. Fortunately, waiting room feature that allows you to have new attendees placed there instead of just appearing in your meeting room.

Record the meetings. Recording the sessions can be a helpful way to go back and revisit some of the issues and questions brought up during the meeting. Recorded conferences can also be shared with those who could not attend and saved for future reference.

Dress to impress. Even though you can work from home in your pajamas doesn't mean you should. Get dressed like you're going into work. Doing this will help you shift your mindset into work mode and prepare you for a video call with your team and clients throughout the day.

Mute yourself if you aren't talking. Background noise can be distracting during a virtual meeting. If you aren't talking, mute yourself so others can talk without hearing the music you are playing, your dog barking, or the sound of your dryer in the background.

Look into the camera. Your audience can tell if you are looking into the camera or at yourself on the screen. For a more professional meeting experience, look into the camera to connect with your team.

Make sure you have a plan: Every meeting, physical or virtual, needs a clear agenda with your plan and the desired outcomes for each meeting. If you are the one calling a team meeting or setting up a video conferencing call with a customer, make sure to share the agenda in advance. Each item on the agenda should be covered and notes taken accordingly. So be sure to follow up quickly with your notes, actions for each participant and next steps.
